Case subscribers and notifications

Case subscribers are firm members who follow a case and receive updates about it. Subscribing someone keeps them informed without changing the case Lead Attorney or giving them full case ownership. This is useful when other team members need to stay aware of case activity without being the lead.

Who can subscribe

Only active members of your firm can be added as case subscribers. If a user is not an active member of the organization, they cannot be subscribed. There is no limit to how many cases a single user can follow.

Duplicate subscriptions are blocked. If someone is already subscribed to a case, adding them again will not create a second entry. The system silently skips duplicates when you bulk add subscribers.

How subscribers are managed

Subscribers are managed from the case page properties panel, not from the general notification settings page. Open a case, go to the properties panel, and use the subscriber controls to add or remove firm members. When you add a subscriber, you search for and select an active firm user. The current subscriber list appears on the case, so you can see who is following it at a glance.

You can add one subscriber at a time, or use bulk add to subscribe multiple active members at once. Removing a subscriber stops their updates for that case only and does not affect their access to other cases.

Notification settings

General notification preferences are set in Settings > Notifications. That page controls your delivery channels, such as In-app and Email. It does not control who is subscribed to a specific case.

Case-specific subscriptions and general notification channels work together. A firm member must be subscribed to the case and have the relevant channel enabled in their notification settings to receive updates about that case. If either piece is missing, the user will not be notified.

Can clients be case subscribers?

Only active firm members can be added as case subscribers. Client portal access is handled separately from case subscriptions.

Why was a user not added?

If a user is not an active member of the firm, or is already subscribed to the case, they will not be added. Check that the user is active and not already in the subscriber list.

Where do I manage who receives case updates?

Go to the case page and open the properties panel. Subscriber management is done there, not in Settings > Notifications.

Can I subscribe multiple people at once?

Yes. Use the bulk add option in the case subscribers panel to add multiple active firm members at once.
